Operations automation
Spend less time moving work between tools.
We connect intake, onboarding, bookings, reporting and customer updates so your team can spend less time copying information and chasing the next step.
For agencies, SaaS operations teams and service businesses with repeatable work spread across several systems.
Where this helps
Agency onboarding and delivery
A signed contract can start a client record, request missing information, create a project and assign the first tasks. Connect GoHighLevel or HubSpot with Monday.com, Slack and reporting tools. Keep approvals and unusual client requirements with the account owner.
Service intake, bookings and customer updates
Move a booking or inquiry into the CRM, check required fields, notify the right team and send an agreed confirmation. Connect BookingKoala, scheduling tools, forms and messaging. Route missed calls and exceptions to a person; confirm consent before automated calls or messages.
Reporting and system handoffs
Sync approved records between databases and tools, collect status updates, and prepare scheduled reports. Define which system owns each field so a retry cannot overwrite newer information or create another customer record.
AI-assisted document and message handling
Use AI to extract a field, classify an inquiry or draft a response where rules alone are insufficient. Validate outputs, restrict tool permissions and require approval for uncertain or consequential actions.
How we build it
- Map the trigger, inputs, owner and definition of a completed task.
- Choose n8n, Make, Zapier or custom code based on connectors, volume and hosting requirements.
- Build validation, retries, duplicate protection and human review into the workflow.
- Test with representative records, monitor failures and hand over the operating instructions.
Systems and access
GoHighLevel, HubSpot, Monday.com, BookingKoala, Slack, forms, databases, webhooks and custom APIs. Connector access and account plans are checked during scoping.
What is included, and who owns it
We automate agreed steps, not every exception in your business. Missing API access, inconsistent data or an unclear process can limit what is safe to automate. Voice, document and messaging work may require additional review, permissions and provider accounts.
Your team names the person who owns exceptions and approvals. We document triggers, credentials ownership, recovery steps and changes. Hosting, monitoring, response times and ongoing maintenance are agreed separately from the build.

Before you start
Do we need to replace our existing tools?
Usually the starting point is connecting the tools you already use. We check their APIs and permissions first. If an existing tool cannot support the workflow, we explain the limitation before recommending a change.
What happens when a workflow fails?
The design includes error reporting, safe retries and an owner for exceptions. The agreed support scope determines who monitors failures and how quickly they respond.
Can we start with one workflow?
Yes. Choose a repeated task with a clear owner, usable inputs and a measurable result. We scope the first version before adding more departments or systems.
Start with a defined scope.
The first conversation is free and covers your requirements, fit and next steps. Clear requirements can lead directly to a proposal. Where systems, data or risks need investigation, we can agree a separate paid discovery scope. Provider fees, hosting and support depend on the eventual design.
