For commercial insurance agencies

Commercial Insurance Workflow Automation

Connect repeated administrative work across client information collection, renewals, documents and agency systems. We design workflows around operational ownership, access and visible exceptions.

Start with one agency handoff. Assess the records, people and systems involved before deciding which steps can be automated.

Agency workflows worth examining

These are proposed applications of our engineering capabilities, not completed insurance client implementations. Choose a repeated task with an accountable owner and a clear stopping point.

Submission preparation

Organize incoming application material and prepare information for an authorized reviewer. Detailed intake and reconciliation requirements belong in a scoped submission workflow.

Renewal preparation

Assemble the records requested for a renewal, track outstanding client information and route approaching deadlines to the responsible account handler. Renewal decisions remain with authorized professionals.

Document handling

Organize ACORD forms, loss runs, policy documents, schedules and correspondence around agreed account records. Establish naming, access and document ownership so colleagues can locate the material they need.

Client information collection

Track which questions have been answered, who is following up and when a response is due. Keep unresolved requests visible rather than marking a file complete because a reminder was sent.

Repetitive follow-ups

Prepare reminders using agreed communication rules. A client reply, reassigned account or changed request should stop or redirect the sequence before another message goes out.

AMS/CRM handoffs

Coordinate account tasks and administrative status updates between teams. Surface failed handoffs so work does not disappear between an inbox, spreadsheet and agency system.

A closer look at submission preparation

Repeated document reading and information entry can be a focused starting point. The dedicated submission page covers extraction, discrepancies, document revisions and the review gates needed before approved information moves downstream.

Agree which system owns each agency record

An agency management system (AMS), CRM, email inbox, document store, internal database or spreadsheet may each hold part of the operational record. Identify authoritative account details, task ownership and permitted update directions before connecting them.

Access depends on supported interfaces, permissions and the agency environment. Establish who may read or change each record, and avoid competing copies that leave staff unsure which status to trust. Where a handoff cannot be supported reliably, retain a clearly assigned manual step.

Make operational responsibility explicit

Own the exception

Assign failed handoffs and overdue requests to a named role, with the affected account, next action and escalation path. Agree who monitors the queue during absences.

Maintain the workflow

Check mappings and checklists when agency systems, staffing or processes change. Agree documentation, monitoring and ongoing support responsibilities before delivery.

Set access and retention rules

Limit access to the information needed for each task. Agree storage, provider settings, retention and what must stay out of activity logs before processing agency data.

Keep professional decisions with people

Automation supports administrative work. Appropriately authorized insurance professionals retain responsibility for underwriting judgment, coverage recommendations and binding or other material insurance decisions.

Engineering experience with operational handoffs

Our CRM and operations work connected business tools and coordinated record and task updates. That provides transferable engineering experience for agency-wide handoff design; it is not an insurance implementation or evidence of an existing AMS connector.

About Creative Codes

Planning an agency workflow

Where should we start?

Choose a repeated handoff with accessible records, a clear owner and an observable outcome. Follow-up coordination or renewal-file preparation may be a better first scope than a larger submission process.

Do we need to replace our agency systems?

Start with the systems you already use. Establish their authoritative records and permitted interfaces first; an unsupported handoff may need a manual step or vendor involvement.

Can renewal preparation be included?

It can be assessed as its own operational workflow, with renewal-specific checklists, dates and ownership. Preparing a file does not decide renewal terms or coverage.

Who maintains the workflow after delivery?

Agree who monitors exceptions, updates mappings and supports changing processes. Code, documentation and any hosting or ongoing support responsibilities are defined in the engagement scope.

Which agency handoff needs attention?

Describe where information waits, gets re-entered or loses an owner. Do not send confidential policies, loss runs, applicant information or credentials through ordinary booking/contact forms. If representative documents are needed later, appropriate sharing arrangements can be agreed separately.
